Data Policy

Last updated: September 2026

This Data Policy explains how the property, tenant and financial data you enter into the Oxflare platform is stored, retained, exported and deleted. It is separate from our Privacy Policy, which covers personal information collected through this website.

1. Who Owns Platform Data

Property, tenant, financial and maintenance records that you or your organisation enter into Oxflare belong to you. Oxflare acts as a data processor for this information, handling it on your behalf and in accordance with your instructions and applicable law.

2. What We Store

Depending on how you use the platform, this may include property and unit records, tenant profiles and lease details, payment and billing records, maintenance requests, and documents you choose to upload.

3. Where Data Is Held

Platform data is stored on infrastructure operated by Oxflare or its hosting providers. Reasonable technical and organisational measures are applied to protect this data, as described on our Security page.

4. Backups

Platform data is backed up on a regular basis as part of normal operations, to reduce the risk of data loss.

5. Data Retention

We retain platform data for as long as your account remains active, and for a reasonable period afterward in case you wish to reactivate or request an export, unless a shorter period is required by law or agreed with you directly.

6. Exporting Your Data

You may request an export of your property, tenant and financial records at any time by contacting us through our Contact page. We will provide your data in a reasonable, commonly used format.

7. Deleting Your Data

If you close your Oxflare account, you may request that your platform data be deleted, subject to any legal, regulatory or contractual retention requirements that may apply to specific records, such as financial transaction history.

8. Tenant and Owner Data

Where a property manager or landlord uses Oxflare to manage tenants or report to property owners, that property manager or landlord is responsible for ensuring they have the appropriate basis to enter that individual's information into the platform, in line with applicable data protection law.

9. Questions About Your Data

If you have questions about how your platform data is handled, stored, exported or deleted, please contact us directly.
